Administrative Assistant – Bellevue

Purpose

To assist with management of documentation related to coordinated services across agencies providing services to young children with disabling conditions and their families in compliance with Part C. Perform administrative, clerical, and reception duties for the agency.

Principle Duties & Responsibilities

Duties and responsibilities may include, but are not limited to the following:

  • Collaborate with staff on a daily basis and work as a team member
  • Copy/distribute records to families, doctors, school districts, and other agencies
  • Create children’s files and informational welcome packets
  • Mail enrollment packets, evaluation reports, and protocols to clients and school districts
  • Support department members in maintaining documentation of FRC activities in each child’s file and collectively for agency records, billing, and tracking.
  • Oversee and or support volunteers for assistance as needed.
  • File, mail, exit and copy children’s records
  • Oversee Kindering’s archive system and serve as liaison with Datasite agency
  • Provide data entry of client information into state database (ESIT)
  • Assist intake coordinators as needed: completing medical intakes and scheduling evaluation appointments
  • Provide limited front desk/reception coverage as needed
  • Complete clerical assignments, operate office machines, conduct errands, type and word process documents
  • Complete other duties as assigned by FRC training lead and others
  • Support outreach, intensive informing, care planning, coordination, anticipatory guidance for complex health needs, assistance to access services, consultation, resource development, interagency coordination, training, program planning, quality management, and administration to support Medicaid programs.

Education & Experience

  • Minimum of AA degree/BA or BS preferred
  • 1-2 years office/related experience
  • Highly organized individual
  • Demonstrate skill in word processing and familiarity with MS Word and Excel
  • Demonstrate professional interpersonal skills over the phone and in person

Minimum Prerequisites

  • Pass Washington State DSHS criminal history and background check and FBI fingerprint check
  • Possess valid Washington State driver’s license and valid automobile insurance
  • Be able to lift 40 pounds (average three-year-old)
  • Pass tuberculosis test
  • Possess current CPR and first aid certification

Pay: $14.79/hour
